Invoice Integrity, Expense Intelligence, and Accruals: Three New Products for Real Estate AP

PredictAP is adding three products for real estate accounts payable. Invoice Integrity checks every incoming invoice for signs of fraud before anyone pays it. Expense Intelligence lets AP and accounting teams ask their invoice data questions in plain English. Accruals works out what's missing at month end and turns it into a journal entry. All three came from customer requests, all three learn from each customer's own data, and none of them takes a person out of a decision that moves money.

Why is PredictAP building beyond invoice coding?

Because our customers asked us to. We launched PredictAP to do one hard thing well: read every vendor invoice and code it to the right entity, property, and GL account. That is still the core of the product, and we still work on it every day.

But sitting in the middle of the AP workflow gives us a view most systems don't have. We see every invoice as it arrives, the email it came in on, and everything printed on it, alongside the chart of accounts, vendor list, and property list from Yardi or whatever system you run. Over the last couple of years, the same three requests kept coming back through our sales, support, and customer success teams:

  • Help us catch bad invoices before they're paid.
  • Let us get answers out of our invoice data without building another report.
  • Make month-end accruals less of a scavenger hunt.

So we built a product for each.

What does Invoice Integrity do?

Invoice Integrity checks every invoice for signs of fraud as it arrives, so suspicious ones are stopped before they reach approval and payment.

The invoices that do the most damage rarely look wrong. A familiar vendor, a normal amount, a layout you've seen a hundred times, and a new bank account in the remittance block. A busy AP team clearing a queue at the end of the month isn't going to catch that by eye, and it shouldn't have to.

Invoice Integrity runs a separate model alongside PredictAP's coding. It looks at:

  • The invoice image, compared against past invoices from the same vendor
  • The file's metadata, for signs it was edited
  • The email thread the invoice came in on

When something looks off, the invoice lands in a new Suspicious queue with the reasons listed. From there, your team decides. Send it to a colleague for a second look. Call the vendor, confirm it's legitimate, mark it not suspicious, and send it downstream. Or confirm it's fraudulent, mark it suspicious, and it's rejected and locked. Every step is recorded in the invoice's history, and a dashboard shows how many invoices were flagged over time and how many turned out to be real problems.

What does Expense Intelligence do?

Expense Intelligence lets you ask your invoice data a question in plain English and get an answer back, with the math shown and the invoices behind it one click away.

Better reporting has been the most common request from our customers for two years. We could have answered it with dozens of dashboards. We don't think anyone wants another BI tool to log into, so we built a place to ask instead.

What makes the answers different is what's underneath them. Your general ledger tells you what an invoice was coded to. PredictAP also knows what was printed on it, because we read every line to code it in the first place. That means you can find spend that never touched an obvious GL account. A few of the questions it's built for:

  • How much did we spend with Home Depot across the portfolio last year?
  • Why was maintenance up in October?
  • How many refrigerators did we buy for unit turns last quarter, from whom, and at what average price?
  • Are we paying late fees on any invoices?

That refrigerator question works even when nobody coded anything to an appliance account and no invoice spells out the word, because Expense Intelligence reads shorthand and model numbers too. Answers come back as a chart or a table you can download, and you can keep asking follow-ups, drill into the invoices, or add a file like a budget to the analysis. At launch it focuses on spend; AP performance data, invoice integrity results, and accruals data are coming next.

What does Accruals do?

Accruals finds the invoices that should have arrived by month end and haven't, suggests what to accrue for each, and builds the journal entry. Detect, suggest, deliver.

We talked with dozens of real estate accounting teams about how they close the month, and the hard part was always the same. Not the journal entry; working out what's missing. Someone sits down with the ledger and a spreadsheet and goes hunting for the landscaper, the alarm monitoring company, the electric bill that's late again. Then come the emails, the Teams messages, and the calls to site teams. Quarterly and annual bills, like property taxes, are the easiest to miss. And when the person who knows which vendors run late leaves, that knowledge leaves with them.

With Accruals, you set the parameters for a run: period, invoice cutoff, dollar threshold, and the properties you're responsible for. PredictAP then works property by property and suggests accruals in three categories:

  • Received, not posted: the invoice is in PredictAP or your accounting system but hasn't posted yet.
  • Missing recurring: a vendor that bills on a pattern, monthly, quarterly, or annually, should have billed by now and hasn't.
  • Carried forward: you accrued for it last month and the invoice still hasn't come in.

You accept, edit, or reject each suggestion, or add one of your own for the window repair you know is coming. If your site teams weigh in, export the list to them and import their changes back. When you're done, PredictAP builds the journal entry in the format you already use. It never posts on its own; the entry waits for your review. A Recurring Patterns view also shows which vendors bill you on a regular cadence and flags what hasn't arrived yet, any day of the month, not just at close.

What do the three products have in common?

They're built the way the rest of PredictAP is built.

  • Your data, your models. Each product runs on purpose-built models tuned to each customer and trained only on that customer's data. They understand real estate and accounting, and Expense Intelligence will tell you when it doesn't know an answer instead of guessing.
  • They get better as you use them. Every flag you clear, accrual you edit, and question you ask teaches the models something.
  • A person stays in control. AI should do the work of finding things. Approving payments and posting entries stays with your team.
  • Your permissions carry over. Users only see the properties they already have access to, in every product.
  • Nothing new to set up. No new data loads. Once a product is on, it's ready.

All three are included in existing PredictAP agreements at no additional cost. Betas are underway now, with broader availability planned for early next year. If you'd like to be part of a beta, reach out to your Customer Success Manager.
